Our most common service for new tenancies as recommended by governing bodies that safe guards your investment.

 

The full report from top to bottom, inside and out – all items, fixtures, fittings and decoration, separate further overviews and cleaning schedules. We also meet the tenants to check them in; including taking meter readings, recording keys and testing smoke and CO2 alarms.

It is good practice and provides more protection for your property to carry out a fresh inventory and check in report at the outset of every new tenancy rather than updating older reports.

Our inventory and check in service includes a full inventory & schedule of condition and a meet and greet with the new tenants at the property on their moving in day to complete the check-in process. We hand over keys and go through the inventory report with them ensuring they understand it. We will record the meter readings, keys and test and record smoke and CO2 detectors. If tenants are not available for the check in we can deliver keys locally for them to collect, our software will then provide a seamless sign off process from the tenants. The completed report is sent to all parties involved within 24 hours.

We are able to collect keys from a local address, meet the agent/landlord/tenant at the property or even, in these current times, have keys posted directly to the clerk.

We will accommodate what is more convenient for you and are happy to organise access and timings directly with any agents or tenants. 

It is not necessary for the tenants to be present, although we are very happy to meet and greet to handover keys. 

Our clerk will send their dictations to our UK based typist and upload all the photographic evidence.  Once typed, the report is sent back to the clerk to check that all the contents are accurate and nothing has been missed.  The report is then sent to the office quality control team for final checking before dispatch.

Non account holders and landlords will then be invoiced and payment is required by bank transfer before the report is released. 

The report is emailed to the booker as a link in a separate email where you are able to save, share and download pdfs directly. Assist can share the report with any parties involved and can monitor tenant signatures if required.

Yes. Once you have received a link to the report any additional comments or images you want included can be easily be added directly. By clicking within the Additional Comments column against the relevant item, you can enter your comments and upload photos.  These are then checked with the clerk to confirm they are relevant, and once agreed will be available for all parties to see via the link previously sent. 

As our reports are cloud-based so anyone with the link is able to view the most current version of the report that may including comments, images and signatures.
